What this notice covers
Streamlined OS (the “Platform”) is operated by Collective by DBA, a Dillon Business Advisors program. This notice describes what information we collect from firms and individuals using the Platform, how we use it, who we share it with, and the choices you have about it.
Information we collect
We collect the following directly from you:
- Account info: email address, name, firm name, role within your firm.
- Assessment responses: your scoring of each question in the maturity assessment, and any notes attached to a response.
- KPI data: the financial and operational numbers your firm logs each period (gross revenue, MRR percent, revenue per FTE, owner production hours, EBOC percent).
- Goals and notes: the goals your firm sets and any notes left by advisors or team members.
We also collect basic technical data automatically (IP address, browser type, session timestamps) to operate the Platform securely.
How we use information
- To provide the Platform’s features (scoring, dashboards, journey view, exports).
- To let advisors assigned to your firm see the firm’s data so they can support you effectively.
- To send transactional emails (sign-in links, advisor notifications, sticky updates).
- To improve the Platform itself, including aggregate, anonymized analysis of cohort trends.
We do not sell your data. We do not use your firm’s data to train models for third parties.
Who can see your data
- Members of your firm: everyone in your firm can see the firm’s assessment results, KPIs, goals, and activity history.
- Advisors assigned to your firm: Collective by DBA staff who are assigned to support your firm can see your firm’s data.
- Collective by DBA platform staff: a small number of internal staff have administrative access for support and operational purposes. Their access is logged.
- Service providers: vendors who help us operate the Platform (hosting, email delivery, authentication) can access data only as needed to perform their service.
Your choices
- You can request a copy of your firm’s data at any time by contacting us.
- You can request that your firm’s data be deleted, subject to any legal retention requirements.
- You can update your account information from within the Platform.
- You can opt out of non-transactional emails (e.g., advisor notification emails) from your account settings.
Data retention
We retain firm data for as long as your firm has an active membership in Collective by DBA, plus a reasonable period after offboarding to support continuity if you return. You can request earlier deletion at any time.
Security
We use industry-standard practices to protect data: encrypted transport (TLS), encrypted storage at rest, role-based access controls, and audit logging of mutating actions. No system is perfectly secure, but we treat data security as a first-class concern in how the Platform is built and operated.

Changes to this notice
We may update this notice from time to time. When we do, we’ll update the “last updated” date at the top and, for material changes, notify firms via email.
